Upcoming Features for Agencies and Providers - May, 2022

The Care Hires team has yet again come up with new features, and developments made available for the system users.

Providing a quality digital solution has always been the utmost priority at Care Hires. As a business in the Care sector, our brand ethos is built around our relationship with stakeholders, keeping up with them and providing them with a seamless digital experience that offers much ease and convenience, has been crucial to us. Since our inception, we have always evolved in line with our customer’s needs and wants, placing them at the forefront of our business journey. This is what eventually leads and motivates us to implement feature functionalities that provide uninterrupted services to our clients. After all, what matters the most is that our customers are highly satisfied with our digital capabilities and the services provided by us.

The Care Hires team has yet again come up with new features, and developments made available for the system users. This release evolves around some very important features related to the job posting process. We believe with this release, the job posting flow will be seamless and provide much user convenience. These features which are yet to be live with the 1.9.0 release, will assist the end-users. These are developed to increase the efficiency of the system, aiding the end-users in their daily operations as well as benefitting the Care workers.

What will be included in this release :

  1. Ability to post Recurring Shifts

  2. Ability to post Job Templates

  3. New document requirements for Care Workers - Reference document proof and VISA document proof

  4. Enable 16 hours max limit for timesheet submission and approvals for one shift

  5. Timesheets submitted through mobile will be removed from the auto-approval process to ensure agency validation is done prior to worker submitting and auto approving the timesheets

  6. Other Fixes - 

    1. Overlap timesheet validation and bug fixes in timesheet approval process
    2. Performance improvements on job loading and timesheet approval process

This release includes some minor fixes and important feature upgrades. Let’s now have a look at a detailed view of each feature to be released.


1 - Ability to post Recurring Shifts

A recurring job/shift is what is set to automatically repeat on the given date or time, the frequency at which instances of the job will occur: days, weeks. If there’s a job that needs to be performed at regular intervals or repeatedly, the user can now use the feature to update the system and post the shift.

We all know that having to fill out the exact details over and over again to post a job can be very tiring. Especially when you have thousands of shifts lining up to be completed, the entire process of creating shifts constantly for care homes is a huge load of work and probably enervating to the users. In order to find a perfect solution for this the team has come up with Recurrence Shifts and Job Templates functionality.

  • Add a recurring shift - The user can add a specific shift that occurs on a daily, weekly, basis on specific time. It limits the amount of time the user needs to update the same shift over and over again.

Ability to add a re-occurring shift

Under this feature specify main actions performed by the user:

  • The Recurring Jobs visual attached here below showcases an overview of the step-by-step procedure of filling out the requested information.

    • First the user is required to click the “Templates“ button under the Jobs icon.

    • Fill out the necessary information to create a recurrence shift or click on the customized Job template.

    • Click on “Continue“ button to post a re-occurring shift.

  • Details which needs to be updated when creating a recurrence shift;

    • Select Care provider and Care Homes along with the Worker type.

    • Job Duration;

      • Select the Start date of the Job

      • Recurrence Pattern - Daily, Weekly etc

      • Frequency - End period (after how many occurrences it ends) or whether it never ends etc.

      • Break details

    • Click “Done”

Click on the "Create Template" button displayed on the top right corner and fill our the necessary information.

You can also post recurring shifts from the Job posting feature by simply clicking on the "Post Using Template" button and select any pre-saved templates according to your liking. Once you select a template, the details will be auto-filled by the system and all the user has to do is to simply click the done button and the jobs will be posted as per the user's instruction.


2 - Job Templates

A Job template contains customized job details that can be posted without having to manually fill out the job posting form. Especially if that job is a recurring job and needs to be posted on a regularly basis, then the user can use the pre-saved job templates and post jobs. The user can create shifts using the customized templates saved, and available on the system. These templates allow the user to create reoccurring shifts with just a click! This way the user can save time by reusing the template instead of creating the job from scratch every time. The user can create, edit and manage the job templates on the job template functionality. Pre-saved job templates aids the user in regular job posting, minimizing job posting time by auto-filling all the details once clicked on a specific job template.

Manage Job Templates

The user can now create and pre-save templates that contain job details for regular job posting.

  • The Job Templates visual attached here below showcases an overview of the step-by-step procedure of filling out the requested information.

    • Select "Templates“ from the under the Jobs icon

    • Click on the “Create Template“ button

    • Fill our the necessary details;

      • Template Name

      • Description

      • Care Home Name

      • Start Time / End Time

      • Breaks

      • Skills

      • Recurrence

      • Job Note

    • Click “Save“

  • The user can enable/disable the templates  by simply clicking on the “Inactive“ button to disable the template and "Active" button the enable the template 

  • The pre-saved templates as shown below will display the following brief information;

    • Template Name

    • Template ID

    • Care Home Name

  • This function will also be available in the Job posting screen as “Post using templates“ once clicked, the user will be directed to choose from any of the pre-save templates. The details will then get auto-filled and the user can post the job without having to fill details all over again.

The recurrence shifts and job templates functionality gives the user a clear visibility into future shifts and ensures smooth job scheduling by not missing any important shifts and eliminates the need of entering the exact same details on a regular basis to create shifts, saving more time and providing user convenience. Higher output, increased efficiency, and consistency of the product quality have been our core ethos since the establishment and our team is working tirelessly to ensure that we produce what we have promised. Hence, we believe that this feature functionality will benefit many end-users and will provide a smooth job posting flow to them.


3 - New documentation section for the Worker’s screen

  • Visa/Work permit proof

One of the most essential and important documents for our care workers who are foreign nationals is the Visa and the worker permit proof. The newly introduced Visa/Work permit, allows foreign nationals who are qualified applicants to stay and work in the UK for a certain period of time. This document gives permission to work in the care sector and now the team has implemented a new visa/worker permit document upload section in the Worker’s screen. This will be collected and recorded to ensure that our workers are aligned with the rules and regulation of the UK Care sector.

  • Reference proof

Currently in the workers section, we request the worker for three types of references, professional, character and academic references. The references are manually checked and marked on the system. We do not let the users upload the references to the system, the references are not stored or tracked digitally by the system. So, the team has decided to implement an upload document feature in the references section, letting the worker to upload the references so that we can store them internally in our data base.

 


4 - Enable 16 hours max limit for timesheet submission and approvals for one shift

Care Hires came across many instances where incorrect timeslot was entered when submitting the timesheets. Some even even exceeded hours after the end time. In order to eliminate such errors, we have enabled a feature to restrict the timeslot entered when submitting timesheets to 16 hours. The user who is submitting the timesheet cannot enter a timeslot between the start and the end time exceeding 16 hours. If the timeslot exceeds the said hours, the system will alert and notify the user to enter the correct timeslot.


5 - Timesheets submitted through mobile will be removed from the auto-approval process.

Timesheets auto-approval process is where the timesheets which are not approved gets the green light for payment. This process was implemented to take off the burden of users approving hundreds of timesheets manually, providing ease and convenience (For more information please refer ) The timesheets submitted through mobile application by our care workers, does not go through the supervisor’s or account user’s approval process. There may be incorrect details or facts included by the workers and once auto-approved it cannot be reverted. Hence, the team has come up with the solution, to let the timesheets which were submitted by workers directly from the mobile application get auto-approved. With this release timesheets submitted through mobile app will be removed from the auto-approval process and alternative measures will be taken to resolve this.


6 - Other fixes

  • Overlap timesheet validation and bug fixes in timesheet approval process
Validate worker allocations when submitting timesheets to check whether the same worker has submitted an overlapping timesheet. There's high chance that when submitting timesheets, users accidentally adding the time slot incorrectly. In order to avoid this circumstance the team has enabled that the system automatically check for such instances and alert the user that the submitted timesheet overlaps.
  • Performance improvements on job loading and timesheet approval process.
The team also went ahead in improving the performance of couple of functionalities as, the Job loading and the timesheet approval process functionality, letting the system be efficient and fast when loading the data. The end-user convenience will be improved when the performance in increased.


The new release contains the main features as explained above. The release note can be quickly scanned through to have a generic idea of what’s new. And it follows a very simplistic format. As an organisation deeply committed to providing disruptive services, the team is continuously working on developing and adding new features to the system.
