Timesheet submission

  • Once the worker completes a job, a timesheet must be submitted to the care provider to invoice their service hours. 
To submit a timesheet, 
  • Navigate to the jobs dashboard and open the relevant shift.
  • Click the Timesheets button visible on the top-right, which will open up to the timesheet of the job.
  • Click on the grey colour box indicating the timesheet time to view the shift timesheet.


  • Attach a scanned copy or a digital copy of the shift timesheet as proof of document.

Note: Agencies can use their own preferred timesheet templates as proof of document


  • Once the document has been attached, click Update.
  • You will be directed to the timesheet overview dialogue box. Click Submit Timesheet

Note: The deadline for agencies to submit their timesheets to the Care Hires system is until Monday 5.00pm. 


  • If the actual timesheet differs from the shift hours, timesheets can be manually adjusted
  • In situations where the worker started late or worked extra hours, the timesheet times require adjustments to reflect the actual worker hours. 
  • To edit the timesheet,
  • Navigate to the jobs dashboard and open the relevant shift.
  • Click the Timesheets button visible on the top-right, which will open up to the timesheet of the job.
  • Click on the grey colour box indicating the timesheet time to view the shift timesheet.
  • Attach a proof of document.
  • Adjust the timesheet record time to reflect the time in the proof of document. 
  • Include a reason for the manual adjustment.
  • Click Ok and ensure you click Update to save all changes. 
  • You will now see the grey coloured box indicating the timesheet time with the updated date and time.
  • Click Submit Timesheet
  • If there are any unsubmitted timesheets despite the shift having ended, the calendar view will be marked in orange and will remain as a booked shift till timesheets are submitted. 
  • The list view offers clear visibility over timesheet status as pending, submitted or disputed. 
  • Once submitted timesheets are approved by the client and have been raised by Care Hires, they will be displayed as invoices in the list view of the timesheet status. 
  • In case of a disputed timesheet, the agency will contact the provider’s account manager to rectify the issue.

Tip: Any issues relating to late payments, disputed timesheets, shift queries, worker suitability, worker complaints should be resolved by contacting the client’s account manager directly.
