Require Authorisation Before Jobs Are Posted to Agencies

For some provider sites, jobs need to be internally approved before they can be shared with agencies on CareHires. This article shows how to enable and use the job authorisation feature.

What is Job Authorisation?

Job Authorisation lets provider organisations require internal approval before a job goes out to the agency network. This extra step ensures that job requests align with workforce plans, cost controls, and internal governance policies.

💡 This is currently a custom feature enabled only for specific organisations. If you need this feature activated for your organisations, please reach out to your account manager.

When is Authorisation Required?

A job needs approval only if:

  • The provider has Job Authorisation enabled

  • The site where the job is being posted has Job Authorisation set to Required

If these conditions aren’t met, the job will post as normal.

How to Enable Job Authorisation

  1. Go to Organisation Settings

  2. Navigate to the Job Approval Settings section

  3. Toggle Job Authorisation ON for any site where approval is needed

  4. Only users with Super Admin or Org Admin permissions can change this setting

What Happens When You Post a Job

Depending on your role and the site's settings:

  • If you're an Authoriser:
    The job posts directly.

  • If you're not an Authoriser:
    The job is submitted for approval.

Once submitted:

  • The job status becomes Draft

  • You’ll see a toast message: "Your job has been submitted for approval."

Reviewing & Approving Jobs (for Authorisers)

If you're assigned the Authoriser role, you'll be notified when new jobs need review.

To approve or reject:

  1. Open the job from your Tasks view or Job listing

  2. Review the shift details and estimated cost

  3. Choose to:

    • Authorise Job — Job status becomes Open

    • Decline Request — A modal appears asking for:

      • A rejection reason

      • Optional comments

Rejected jobs:

  • Move to Cancelled status

  • Are tagged with the reason “Authoriser rejected job”

  • Include your comment in the cancellation description

Tracking Authorisation Activity

All actions are logged in the job’s Activity History, including:

  • Who approved or rejected

  • When the action was taken

  • Any comments left


FAQs

Q: Does this replace rate approval?
No — if Secondary Rate Authorisation is enabled, it still happens after a job is approved.

Q: Can I bulk approve jobs?
Not yet. This version requires manual review for each job.

Q: Can't see the "Enable Job Authorisation" configuration under Settings?
This feature is switched off for your organisation. Please reach out to your account manager to get this enabled.
