Invoice Reconciliation Process - Platform Policies

This articles outlines the policies related to timesheets and invoicing on the Care Hires Platform.

Platform policies

Weekly Payment Cycle 

The Weekly Payment Cycle will be from Monday to Sunday, this cycle closes Sunday 11:59pm, and includes all jobs that had finished prior to the Cycle end time. All jobs that have been completed, and approved by the Care Provider will be included in the invoice generated every Wednesday at 9am.

The automated invoices are generated through Care Hires and sent to the Care Provider
directly. A statement for invoices generated will be sent to the Agency Partner.


Cut off time for Agencies 

Agency partners will need to submit all of their time sheets for each shift by Monday 10pm (22:00) each week. If the Agency fails to submit the timesheet by this time, the relevant shift will not be added to that weekly invoice. Instead, it'll roll over to the next weekly invoice.

***Note - This submission of timesheets is not verified and completable through email, telephone, text or fax. It is only accepted through the Care Hires system. This is the responsibility of the Agency Partner.


Cut off time for Providers

Care Providers will need to approve all time sheets for each shift by Tuesday 10pm (22:00) each week.

Any time sheet that is not approved prior to 10pm on a Tuesday will be automatically approved through the system and billed as part of the weekly invoice, sent each Wednesday for shifts completed the week prior. This is the responsibility of the Care Provider.


Weekly Invoice

Invoices shall be generated and raised each Wednesday for the week prior (and any rolled over shifts).



Acceptable invoice

The Agency Partner is able to create their own invoices reflective of the Care Hires system invoices for internal use, but this invoice nor any other are acknowledged by Care Hires, unless reflective of the system.
