How to submit timesheets

For invoices to be correctly raised as part of the weekly billing process,  you will need to submit timesheets to the shifts covered by your agency. Begin by navigating to the Jobs section, and clicking on the shift you will be submitting the timesheet for:

Once the shift overview appears on-screen, select ‘Timesheets’ in the top right corner. Please note, this will only appear once the shift time has lapsed:

You will then receive a summary of the shift completed, including; start and end times, breaks (unpaid or otherwise), and total billable hours. You’ll also notice a button on the right hand side entitled ‘Submit Timesheet’, click here:

Attach your own timesheet by selecting ’Attach Proof Document’. This can be a JPG, JPEG, PNG, or PDF. You can amend start or end times if necessary. Please note, if start, end, or break times are edited - the timesheet will need manual approval. 

Once attachment/amendments have been added, click ‘Update’.

Your timesheet has now been submitted, and will be invoiced in the next applicable billing cycle. See important deadlines below:

  • Each week (Mon-Sun) is one billing cycle;
  • All timesheets for shifts picked up during each billing cycle will need to be submitted by you the following Monday at 10PM, timesheets submitted later than 10PM risk falling into the next applicable cycle;
  • The client will review, approve timesheets by Tuesday 10PM. Any client who agrees to auto approvals, will have timesheets auto-approved by the system if not actioned by this time; and
  • Invoices will be raised, for approved timesheets, every Wednesday, and sent directly to the client.
