Hourly or Fixed Day Rate Agreements

Agreements can now be configured to support either an Hourly Rate or a Fixed (Day) Rate for shifts

Agreements can now be configured to support either an Hourly Rate or a Fixed (Day) Rate for shifts, enabling agencies and providers to pay workers a set amount per shift instead of an hourly rate. This enhancement is ideal for roles such as teachers or sleep-in shifts, where payment is typically based on a flat rate for the entire shift duration.

Previously, the system only supported hourly-based rate configurations, calculating shift payments by multiplying the duration by the hourly rate. This approach posed challenges for roles where a fixed payment per shift is standard—such as teachers or sleep-in shifts—leading to workarounds and manual adjustments that increased the risk of errors and inefficiencies.

With this new enhancement, agreements can now be configured to apply a fixed (day) rate per shift, regardless of the number of hours worked. This update streamlines payroll processes, reduces manual intervention, and aligns the system with real-world payment practices for various roles.

Key Functionality

  1. Rate Type Selection:
    1. We've added a dropdown to choose between Hourly Rate and Fixed Rate during the agreement setup.
  2. Fixed Rate Configuration:
    1. Enable entry of a fixed rate amount that applies to the entire shift.
    2. Disable hourly rate fields when Fixed Rate is selected to avoid confusion.
  3. Shift Cost Calculation:
    1. If Hourly Rate is selected, calculate the shift cost as:
      Shift Duration × Hourly Rate
    2. If Fixed Rate is selected, the shift cost will be the predefined fixed rate, regardless of the shift length.
  4. Agreement Setup Integration:
    1. Included fixed rate options in the Worker Rates section of agreements.
    2. Apply this feature to standard shifts and special shift types (e.g., sleep-in shifts).
  5. Reporting and Invoicing Updates:

Ensure reports and invoices correctly reflect whether a shift was billed at an hourly or flat rate.
