Submitting your Timesheets
Once you've finished a shift, the last step is submitting your timesheet — that's how your worked hours reach your agency and you get paid correctly. The Care Bank Mobile App makes this straightforward: record your times and breaks, attach your proof, and send it off for approval, all from your phone.
This guide explains where to find your timesheets, how to fill one in, and what happens after you submit.
Finding your Timesheets
Tap Timesheets from the Home screen. Everything is organised into two tabs:
- Pending — finished shifts that you haven't yet submitted a timesheet for, or timesheets that are awaiting approval.
- Approved — timesheets your agency has reviewed and approved.
You can switch between a list and calendar view, and use the month selector to jump to a particular period. Shifts that are ready for a timesheet show a Finished label.
Submitting a Timesheet
- On the Pending tab, tap the finished shift you want to submit.
- Review the shift details — the blocks and their times, the expected paid and unpaid breaks, the required skills, and any notes.
- Tap Upload Timesheet to open the form.
Fill in the form with what actually happened during your shift:
- Timesheet start date — select the date your shift began.
- Timesheet breakdown (per block) — for each block, enter your actual Start and End times. The app works out the Duration for you, along with the Deviation from original job — how your recorded time compares with the planned shift (shown as + in green if you worked longer, or – in red if shorter).
- Add Waking Time — if you were woken to work during a sleep-in block, tap + Add Waking Time to record it.
- Paid / Unpaid break records — enter the duration and a short note for any paid and unpaid breaks.
- Expenses (optional) — if you incurred any costs such as travel, medical, or emergency expenses, tap Send expense receipts to share them by email with the relevant proof.
- Proof Document — tap Click to upload to attach your proof (for example, a signed timesheet).
- When everything's complete, tap Submit Timesheet.
Note: Enter the times you actually worked, not the originally planned times. The Deviation figure simply shows the difference — it's there to keep your pay accurate, so don't worry if it shows a plus or minus.
What Happens After you Submit
Once you submit, your timesheet status changes to Pending Approval, and you'll see a message confirming it's been submitted and is under review — there's nothing further for you to do at that point.
Your timesheet then goes to your agency to review. When it's approved:
- You'll be notified.
- The status changes to Approved, with a short confirmation that you've successfully fulfilled the shift.
- The timesheet moves from Pending to the Approved tab, where you can find it any time.
Tips for Submitting Timesheets
- Submit promptly. Sending your timesheet soon after your shift helps your agency approve it in good time for pay.
- Record breaks accurately. Enter your paid and unpaid breaks as they happened, with a quick note if it helps.
- Always attach your proof. Uploading your proof document helps your timesheet move through approval without delay.
