Managing Job Templates for Rota
Most rotas are built from the same handful of shifts, week after week — a waking night at one site, a day shift at another, a sleep-in at the weekend. Recreating each one from scratch is slow and easy to get wrong.
Job templates let you define a shift once and reuse it whenever you build the rota. Pair them with recurring job patterns and a whole week — or month — of regular cover can be laid down in a few clicks, consistently and accurately.
What a Job Template Is
A job template is a saved, reusable shift definition. It captures the details that stay the same each time the shift runs, so you don't re-enter them:
- Site the shift belongs to
- Shift type (General, Sleep-in, Waking Night, or Night)
- Start and end times and any break
- Worker type and required skills
- Number of workers needed
When you add a template to the rota, it creates a ready-made shift you can allocate straight away.
Creating a Job Template
- Open Jobs from the main menu and select Template.
- Select Add New.
- Set the template details:
- Choose the site.
- Select the shift type.
- Enter the start and end times (and break, if applicable).
- Add the worker type and required skills so only eligible workers can be matched.
- Set the number of workers the shift needs.
- Save the template. It's now available to drop into the rota.
Note: Set required skills carefully. A template's skill filter controls which workers can be allocated to shifts created from it — a missing or wrong skill will narrow or widen your candidate list unexpectedly.
Setting Up Recurring Job Patterns
For shifts that repeat on a schedule, attach a recurring pattern so the rota generates them automatically:
- Open the template (or create the shift) and choose Recurring.
- Define the pattern — which days it runs, and the start and end dates of the recurrence.
- Save. Care Bank generates the repeating shifts across the period you set.
Applying Templates When Planning the Rota
When building the rota, add a shift from a template instead of starting blank: in Plan Rota, choose Add shift from template, pick the template, and its details pre-fill the shift. Adjust the date or any one-off details, then save it into the rota.
Tips for Provider Admins
- Name templates clearly. Use names that signal the site, shift type, and time (for example, "Smart Home 1 — Waking Night 20:00–08:00") so the right one is easy to grab.
- Keep a template per repeating shift. A clean, well-labelled template library is faster than editing shifts by hand each week.
- Review patterns before they run. Check recurring start and end dates so you don't generate shifts past a contract or service change.
