Managing Employees Via Humanforce

Your worker records already live in Humanforce — names, contact details, skills, availability, and visa information. Keeping a second copy up to date by hand wastes time and invites mistakes: an expired certificate missed here, an availability change forgotten there.

Care Bank removes that duplication. Worker profiles are synced one way from Humanforce, so the master record stays in your HR system while Care Bank holds just the data needed to schedule workers safely. You roster against accurate, current information — without ever re-keying it.

 

How the Sync Works

  • One-way sync: Data flows from Humanforce into Care Bank, never the other way. Humanforce remains the single source of truth.
  • Regular refresh: Records update automatically on a short cycle, so changes made in Humanforce appear in Care Bank shortly after. Each profile shows a Last Synced time so you know how current it is.
  • Open API connection: The integration runs through Humanforce's Open API, pulling the fields Care Bank needs to roster compliantly.

 

What a Worker Profile Shows

Open the Workers section and select a worker to see their full profile, organised into clear panels:

  • Personal Information — name, "also known as", email, gender, and phone.
  • Employment Information — the worker's type (for example, Support Worker).
  • Humanforce Profile Information — the detail that drives scheduling:
    • Shift Availability and Available Days
    • Sleep-in Availability
    • Manual Handling Capability
    • Excluded Services — sites the worker should not be booked for
    • Additional Notes — any extra context, such as "Unavailable on Sunday mornings"

An Approved badge confirms the worker is ready to be scheduled.

 

What Stays in Humanforce

To keep Care Bank focused on scheduling, the following are managed in Humanforce and not editable in Care Bank: creating and editing workers, document management, professional qualifications, emergency contacts, vaccination and reference information, travel details, teams, and leave.

Note: Because creating and editing workers is switched off in Care Bank, you won't see "Add Worker" or edit controls on the profile. This is intentional — make those changes in Humanforce and they'll flow through automatically.

 

Finding a Worker

  1. Open Workers from the main menu.
  2. Use Search by Worker name/ID, or apply a filter, to find someone quickly.
  3. Select the worker from the list to open their profile. Use the pagination at the foot of the list to browse all staff.

 

Tips for Provider Admins

  • Fix data at the source. If something looks wrong in Care Bank, update it in Humanforce — the correction will sync through.
  • Check the Last Synced time. If a recent Humanforce change isn't showing, give the next sync cycle a moment.
  • Use Excluded Services and Notes when allocating. They flag where a worker shouldn't be booked and capture preferences before you assign a shift.
