Introduction to Care Bank

Care providers rely on a flexible internal pool of staff — your bank — to cover shifts across your sites without always reaching for an external agency. When that pool is managed across spreadsheets, group chats, and a separate payroll system, filling a shift quickly and paying people correctly becomes a daily juggling act.

Care Bank brings bank-staff rostering into one place. It connects to your HR system (Humanforce) for up-to-date worker data, lets you plan rotas and fill open shifts from your own bank first, tops up with agency cover when you need it, captures worked time, and exports clean data for finance.

The result is faster shift filling, fewer manual corrections, and a single, accurate picture of who is working where.

 

Your Overview Dashboard

The Overview is your landing page and daily command centre. At a glance you can see:

  • Agreements, Sites, and Outstanding Payments along the top, so you always know your active agreements, the sites assigned to you, and what's owed.
  • Job Summary (this month) — a live count of jobs that are Completed, Open, Open-overdue, Suggested, and Allocated, each with a quick action such as Allocate Workers or Review Timesheets.
  • This Week's Jobs — every shift broken down by day and status (Open-Urgent, Open, Open Over-due, Suggested, Allocated, Cancelled), so you can spot gaps early.
  • Support and learning — phone and email support details, plus links to Care Academy and the knowledge base.

 

How Care Bank Fits Together

Everything is reached from the main menu on the left:

  • Organisation — your provider profile, sites, users, billing details, worker restrictions, notifications, and your agreement with Care Hires.
  • Workers — staff profiles synced from Humanforce.
  • Agreements — the rates and terms you've agreed with each agency for shift and worker cover.
  • Jobs — view shifts (Jobs List), build the schedule (Plan Rota), and manage reusable shifts (Template).
  • Finance — invoices and payments.
  • Tasks — timesheet approvals.
  • Settings — bulk import and export of jobs.
  • Reports — exports and scheduled reporting for finance.

 

Care Bank Jobs vs Care Hires Jobs

Care Bank is built around a simple principle: fill from your own bank first, then top up with agency cover. In the Jobs List you can switch between:

  • Care Bank Jobs — shifts filled by your own bank staff.
  • Care Hires Jobs — shifts shared out to agencies through Care Hires, under the terms in your Agreements.

 

Who Uses Care Bank

  • Provider admins and schedulers plan the rota, build templates, allocate workers, share shifts to agencies, and manage approvals.
  • Service and team managers review and approve timesheets.
  • Bank and agency workers receive shift offers and submit timesheets from the mobile app.
