Improvements to Document Uploading: Right to Work & Grouping
We have updated the Document Compliance area within worker profiles to streamline the verification process. The primary change is the introduction of a dedicated Right to Work section, which ensures that critical identity and employment evidence is no longer lost in a general list of documents.
New Table Structure and Grouping
To improve navigation, documents are now organised into 2 distinct, collapsible tables. This grouping allows you to quickly identify which areas of a worker’s profile require attention:
- Right to Work Checks: Contains the essential legal evidence required to work in the UK (e.g., Passports, Visas).
- Other Documents: A flexible area for any additional files not covered by the categories above.
Managing the Right to Work Section
The Right to Work section is intelligent; it adapts based on the nationality and visa status you have entered in the worker’s basic details.
Dynamic Requirements
- British & Irish Nationals: The system will primarily require a Passport or ID Document. While you can optionally upload a passport as well, only the core ID is mandatory for compliance.
- Non-British/Irish Nationals: The section will automatically expand to require both a Passport/ID and a Visa or Work Permit.
How to Upload
- Navigate to the Employees tab and select a worker profile.
- Click on Document Compliance.
- Locate the Right to Work Checks group.
- Click the Upload icon (or 'Actions' menu) next to the specific document name (e.g., Passport/ID Document).
- Enter the Issued Date and Expiry Date where applicable.
- Click Update to save changes.
Understanding "Self-Assessment Hard-Fails"
Navigate to the selected Client Profile > Rate and select Add New. The Rate Card Builder guides you through three steps to define your rate breakdown.
Step 1: Overview
To ensure only fully compliant workers reach the verification stage, we have implemented a hard-fail mechanism:
- You cannot submit a worker for verification until the Right to Work section is 100% complete.
- If a document is missing, the self-assessment tool will surface a clear error message indicating exactly which document is required based on that worker's nationality.
Existing Workers and Compliance Migration
With this update, some existing workers may see a change in their status:
- Approved Non-Compliant: Any previously verified worker whose RTW documents do not meet the new nationality-based rules will automatically move to this status.
- Action Required: For these workers, you must upload the missing evidence (e.g., a specific Visa type) to return them to full compliance.
Tips for Success
- Check Nationality First: Always ensure the worker's nationality is correct in their 'Profile Info' before uploading documents, as this dictates what the RTW section will ask for.
- Expiry Dates: The system now clearly flags documents with "No Expiry" or specific dates. Ensure these match the physical document to avoid rejection during the final verification.
