How to understand and act on worker profile statuses
See what each worker profile status means in Agency Accelerator and what, if anything, it needs from you next.
Every worker profile in Agency Accelerator has a status. It tells you where the worker is in their journey with your agency and with CareHires, and whether they can be booked.
A profile only ever holds one status at a time, so there is always a single, clear answer to where a worker stands. Off-boarded now replaces Resigned, so there is one word for a worker who has left your agency.
Finding a worker's status
Select Employees from the left-hand menu and open the worker's profile. Their current status is shown at the top of the profile, next to the ⋯ menu.
The statuses and what each one asks of you
Most workers start in Draft and move towards Approved or Active. The order below follows that journey.
- Draft. The profile has been started but is not complete yet. You can save Basic Information with whatever details you have at this stage. Your next job is to fill in the remaining mandatory fields.
- Completed. All mandatory details are filled in. From here you can submit the worker to CareHires for review. Agency Accelerator Pro agencies can also activate them for direct work.
- Submitted for Review. CareHires is checking the profile. There is nothing you need to do while the check takes place.
- Approved. CareHires has checked and approved the profile.
- Denied. CareHires could not approve the profile. The deny reason tells you what needs fixing. Fix those items and resubmit. A denied worker cannot be booked unless they are activated.
- Resubmitted. You have sent a denied profile back to CareHires after fixing it.
- Suspended. CareHires has paused the profile for a compliance or conduct reason. A suspended worker cannot be booked unless they are activated.
- Active. The worker is active with your agency for direct work and can be booked for your own clients.
- Deactivated. An active worker has been deactivated. They can be activated again.
- Off-boarded. The worker has left your agency. They cannot be booked, and your agency no longer appears in their mobile app.
Moving a worker between statuses
- To send a worker for verification, submit them for review once their profile is Completed.
- To use a worker for direct work before or without CareHires approval, Agency Accelerator Pro agencies can select Activate Worker from Completed, Submitted for Review, Resubmitted, Denied or Suspended. See How to activate a worker for direct work.
- When a worker leaves, off-board them. See How to off-board a worker.
- When a worker comes back, open their off-boarded profile and select Activate Worker.
Good habits worth adopting
- Read the deny reason before anything else. It is shown while a profile is denied. Once the worker is activated, it is no longer shown on the profile, so note it down first.
- Off-board leavers rather than leaving them active. An accurate list of active workers stops people being booked by mistake.
- Do not leave profiles in Draft longer than you need to. Save what you have, then chase the missing details while they are fresh.
If something looks wrong
- You cannot book a worker. Check their status. Workers who are Suspended, Denied or Off-boarded cannot be booked.
- A worker you used to see as Resigned now shows as Off-boarded. That is expected. Off-boarded has replaced Resigned.
- A worker's status is not what you expected. Check the Audit Log on their profile, then contact our Support Team if it still does not make sense.
