How to favourite the workers you rely on

Mark the workers your agency trusts with a heart, record why, and filter your list down to them in seconds.

Most agencies have a core group of workers they go back to again and again: the ones who are reliable, take short-notice shifts, and already know your clients. Favourites let you mark those workers so they stand out everywhere you work, and so the rest of your team can see them too.

A favourite is private to your agency. Providers, other agencies and the worker never see it, so you can be honest about who you rely on.

Before you begin

  • Any agency user can favourite a worker. Read-only users can see favourites and the reasons behind them, but cannot add, edit or remove them.
  • The worker needs an approved profile. A profile still under review cannot be favourited yet. A favourite stays in place even if the worker is later deactivated.
  • Decide whether it is for the whole agency or just you. You choose this each time, so you can mark a worker as a personal favourite without putting them in front of the whole team.

The favourite heart icon, and where to find it

Favourites are controlled by a small heart icon beside the worker's name. Selecting it is how you add a worker to your favourites, and once they are a favourite, the same heart is how you open, view and manage it.

Where the heart icon appears

The heart appears next to the worker's name everywhere you work with them:

  • Employee Details and Profile Overview
  • Manage Allocation cards
  • The Jobs list rows
  • The Agency View calendar

What the heart icon tells you

The heart's appearance tells you at a glance where a worker stands:

  • An outlined heart means the worker is not a favourite yet. Select it to add them.
  • A filled heart, in the Agency Accelerator orange, means they are already a favourite. Select it to view or change the favourite.

Adding a worker to your favourites

  1. Open the worker and select the outlined heart beside their name.
  2. In the Add to Favourites window, choose who the favourite is for:
    • Entire agency so everyone at your agency sees it, or
    • Only me so it stays personal to you.
  3. Under Why is this worker a favourite?, tick at least one reason. The options include Dependable and punctual, Accepts short-notice shifts, Excellent attendance, High-quality care, Good communication, Works well with the team, Suitable skills and experience, Flexible availability, Professional and reliable, Familiar with our care setting and Positive feedback.
  4. Select APPLY. The heart fills in and the worker is now a favourite.

Tip: Pick the reasons that will actually help a colleague decide quickly. "Accepts short-notice shifts" tells the person covering a 6am gap far more than a general tick.

Viewing and editing a favourite

Open the favourite panel

Select the filled heart at any time to open the favourite panel. It shows:

  • The favourite's reach, for example Agency favourite
  • The reasons given
  • Who favourited the worker and when
  • A history log of every change

Change or remove a favourite

To change it, open the actions menu (the three dots) on the panel:

  • Edit criteria reopens the reason list so you can add or remove reasons.
  • Remove from favourites takes the worker off your list. You are asked to confirm first, and the history is kept.

Filtering your list by favourites

When you want to work from your favourites only:

  1. Open the Advanced Filter on the Jobs or Employees list.
  2. Under Filter by Favourite, choose Favourite workers. You can also choose Non-favourite workers, or All workers to clear the filter.
  3. Apply the filter. Favourites also appear first in Manage Allocation, so your most-used workers are at the top without any filtering.

A favourites report is also available, listing every worker your agency has marked.

If something looks wrong

  • The heart is greyed out or missing. The profile is probably still under review. Favourite the worker once their profile is approved.
  • You cannot change a favourite. You may be on a read-only account, which can see favourites but not edit them. Ask a colleague with full access, or contact your agency administrator.
  • A colleague's favourite looks wrong. Open the panel to see who set it and why, then use Edit criteria to update it, or Remove from favourites if it no longer applies. Every change is logged.
