How to favourite a worker
Mark the workers your agency relies on with a heart, record why, and see them first whenever you allocate a job.
Every agency has workers it trusts above the rest: the ones who always turn up, accept the last minute shift, or are asked for by name. Until now that knowledge lived in people's heads. Favourites put it on the platform, so the whole team can see who the agency relies on, and why.
You favourite a worker with the heart beside their name. You pick at least one reason, choose whether the favourite is for the whole agency or just for you, and from then on the worker is listed first when you allocate jobs. Every change is recorded, so you can always see who favourited a worker, when and why.
Favourites are private to your agency. Providers, other agencies and the worker never see them.
Before you begin
- Favourites are set from the worker's profile or from a job. There is no separate favourites page to set them up.
- The worker's profile needs to be approved. You cannot favourite a worker whose profile is still under review.
- Read-only users can see favourites but cannot change them. You need a role that can edit workers to add, edit or remove a favourite.
- Think about the reason before you start. At least one reason is required, and it is what your colleagues will see when they hover over the heart.
Where you will see the heart
The same heart appears beside the worker's name everywhere you work with them:
- Employee Details, in the header and in the employee list on the right
- Profile Overview
- Manage Allocation, on every worker card
- Jobs, on each row in the list view
- Agency View, on the calendar
It is one favourite, not several. Set it in one place and it shows everywhere.
| The heart looks like | What it means |
| Outlined | The worker is not a favourite. Select it to add them. |
| Filled in orange | The worker is a favourite. Select it to see why, who set it and when. |
Adding a worker to your favourites
- Find the worker, for example on Employee Details or on a card in Manage Allocation.
- Select the outlined heart beside their name. The Add to Favourites window opens.
- Choose who the favourite is for:
- Entire agency: everyone at your agency can see it.
- Only me: only you can see it.
- Choose at least one reason. The reasons are:
- Dependable and punctual
- Accepts short-notice shifts
- Excellent attendance
- High-quality care
- Good communication
- Works well with the team
- Suitable skills and experience
- Flexible availability
- Professional and reliable
- Familiar with our care setting
- Positive feedback
- Select Apply.
The heart fills in orange, and the worker is now listed first when you allocate.
If you select Cancel, nothing is saved.
Tip: Choose Entire agency for the workers your whole team should know about, and Only me for your own notes, for example workers you are trying out on a particular client.
Viewing a favourite
Select the orange heart to open the favourite's details. You will see:
- Who the favourite is for, for example "Agency favourite"
- The reasons chosen
- Who favourited the worker, and when
- A history of every change, including reasons added or removed
You can also hover over the heart to see the reasons at a glance.
Changing the reasons
You can change the reasons without removing the favourite.
- Select the orange heart to open the details.
- Select the ⋮ menu.
- Select Edit criteria.
- Tick or untick reasons. At least one must stay selected.
- Select Apply.
The change is added to the history, with your name and the date.
Removing a favourite
- Select the orange heart to open the details.
- Select the ⋮ menu.
- Select Remove from favourites.
- Confirm that you want to remove it.
The worker is no longer listed first when you allocate, and drops out of your favourites report. The history is kept, so if you favourite the worker again later, you can still see when they were favourited before and why.
Finding your favourites
When you allocate a job
In Manage Allocation, favourites are listed first in the list of workers, so the people you rely on are the first you see. The usual compliance checks still apply: a favourite who is not eligible for a job is not offered for it.
In the Employees and Jobs lists
- Open Employees or Jobs.
- Open the Advanced Filter.
- Under Filter by Favourite, choose one of:
- All workers
- Favourite workers
- Non-favourite workers
- Apply the filter.
Tip: Use Non-favourite workers to spot capable workers your team has not yet got to know. They may be worth offering more shifts to.
The favourites report
The favourites report lists every worker your agency has favourited, with their status, the reasons given, who favourited them and when. It is built from the favourites your team sets, so there is nothing extra to maintain.
What happens when a worker's status changes
- A favourite stays in place if the worker is deactivated. When you activate them again, they are still a favourite.
- You cannot favourite a worker whose profile is under review. The heart is locked until the profile is approved.
Who can see a favourite
| Who | What they see |
| Everyone at your agency | Entire agency favourites |
| Only the person who set it | Only me favourites |
| Read-only users at your agency | Favourites, but they cannot add, edit or remove them |
| Providers | Nothing |
| Other agencies | Nothing, even if they also supply the same worker |
| The worker | Nothing |
Good habits worth adopting
- Pick the reasons that really apply. A colleague hovering over the heart sees your reasons, so "Familiar with our care setting" tells them far more than ticking every box.
- Review your favourites now and then. A favourite set a year ago may no longer reflect how a worker is doing. Use the report to check the list is still accurate.
- Remove rather than ignore. If a worker is no longer someone you rely on, remove the favourite so they are not listed first. The history is kept either way.
- Use favourites alongside compliance, not instead of it. A favourite is never allocated to a job they are not compliant for.
If something looks wrong
The heart is locked. The worker's profile is still under review. You can favourite them once it is approved.
You cannot add or remove a favourite. You may have a read-only role. Ask an admin at your agency to make the change.
A colleague cannot see a favourite you set. Check whether you chose Only me. Only you can see those.
A favourite is not appearing for a job. Favourites are only listed for jobs they are eligible and compliant for. Check the worker's compliance and skills against the job.
