How to create a new rate card for a client

In Agency Accelerator, rate cards allow you to define what your agency charges for each worker type, including enhancements and cancellation fees. The rate creation process is divided into three steps.

Step 1: Rates Overview

This step sets the context of the rate card you're creating.

What to fill:

  • Select Agency Branch
    Choose the agency branch that owns or manages the rate card.
  • Select Client Site
    Choose the client site this rate card applies to.
  • Select Effective Date
    Pick the date when the rates will go into effect.

You cannot proceed until all required fields are completed.

Click Next to move to the Add Rates step.

Step 2: Add Rates

This is where you define the detailed rates, margins, and VAT logic.

What to fill:

  • Select Worker Type
    Choose the role (e.g., Healthcare Assistant, Registered Nurse) that the rate applies to.
  • Select Skills
    Add relevant skills that may affect the rate.
  • Rate Type
    Choose one of the two options:
    • Hourly Rate
    • Fixed Rate
  • Configure rate entries
    For each rate type (e.g., Normal Rate, Holiday Rate, Night Rate):
    • Enter the Hourly Rate
    • Enter the Agency Margin
    • System calculates Agency VAT and Charging Rates automatically

You can choose to fill only the rate types relevant to the worker/site combination.

Click Next to continue to the Cancellation Policy step.

Step 3: Cancellation Policy

Set rules for how much a client is charged if a job is cancelled within a specific timeframe.

What to fill:

  • Before Job Start
    Select a time window (e.g., 4 hours, 12 hours) prior to the shift start time.
  • Cancellation Fee Percentage
    Enter the percentage of the rate to be charged if cancellation occurs in that window.
  • Click Add Policy to register the rule.
  • All added policies appear in the Policy Breakdown section below.

Click Save to complete the rate card setup.

✅ Final Notes:

  • Once saved, the rate card will be versioned and attached to the selected client site.
  • You can create multiple rate cards for different worker types or effective dates.
  • Historical versions will be kept for auditing but only the latest active rate card will be used for billing.
