How to add a reason for rejecting leave

When rejecting a leave request, adding a reason provides clarity to the worker and supports transparent record-keeping.

Steps:

  1. Open the Pending Leave Request.
  2. Click Reject.
  3. Enter a Reason for Rejection in the prompted field.
  4. Confirm the action.

System Behaviour:

  • The worker will be notified of the rejection and the reason (if integrated with the mobile app).
  • The leave will be removed from the rota and Leave Summary.
  • Audit trail records the user who performed the rejection and the reason.

Tip: Use clear and professional reasons — these may be visible to staff in future updates.
